Scroll through a night and a morning at an agency, as the CRM sees it.
The names are invented. The sequence is exactly what happens.

An enquiry arrives from a portal, in Dutch.
The email is read the moment it lands. Name, phone, language, budget and the property reference come out of the text, and a client card is made. Bram has written before, from another portal, so his old card is found and nobody opens a second one.

It goes to the agent who speaks his language.
Routing follows your rules: round robin, by language, or always to you. Tomas is on holiday, so he is skipped. Joost speaks Dutch and gets the card. Nobody is woken up. Nothing sits in a shared inbox.
02:15 · WITHIN A MINUTE
He is answered in Dutch, from your address.
An acknowledgement in his own language goes out within a minute, with your name on it. Then the assistant asks the two questions Joost would ask, answers what it can from your own stock, and never quotes a price it has not been given. Every word sits on the card, so you can read exactly what was said.
08:30 · NEXT MORNING
Joost opens a card that is already warm.
Budget confirmed, area narrowed, a second bedroom wanted for the grandchildren, and a request for a viewing on Saturday. The assistant stands down the moment he replies, and it stays down for as long as he is in the conversation.
11:30 · SAME MORNING
Three viewings booked, in one route, in his own calendar.
Pick the properties, and the CRM orders the route between them and puts it in Joost's calendar. Bram gets a confirmation in Dutch. Notes from the viewing go back onto his card from Joost's phone.
THREE WEEKS LATER
Reservation, deposit, commission split, invoice. No spreadsheet.
The deal records the reservation and the deposit, splits the commission between Joost and the collaborating agency that listed the property, and raises the invoice in your company's name. After-sales keeps the completion date and the utilities that come after it.

Bram never found out we exist.
